The Cambridge University Freshers' Fair is the best opportunity of the year for the Cafe Project to advertise its existance to the student population, and to recruit a whole load of volunteers! We need a couple of volunteers at a time to stand behind our stall at the freshers fair in kelsey kerridge sports centre for the two days of the fair, giving out Cafe Project flyers and termcards, and collecting email addresses of freshers who sign down to our mailing list. It would be good if plenty of us signed up to do this - so no-one has to spend hours and hours at the stall. The slots have been put down as 'waiter' jobs, but really it's publicising at the fair.

The V-fair is a one day event on Christ's Piece, for Cambridge-based voluntary organisations to promote their volunteering opportunities for young people. The Cafe Project has been invited to participate to promote our activities, and provide tea and cake. This is an excellent opportunity for us to recruit and publicise the cafe!
The Cafe Project is run by consensus, with general meetings open to all. This first general meeting of the new university year will be an introduction to the project for people who haven't been involved before, and hopefully will get you all excited about how to get involved.
If you intend to come, please register here in one of the volunteer timeslots (though you can also come without having registered). If there are fewer than 4 people on the list, the event will be cancelled.

The Cafe Project is hosting a stall at strawberry fair on Saturday June 7th, we need people to be on stall on the day to sell cakes and tell people about our lovely project. The end time is flexible- We hope to go on as long as the cake and enthusiasm lasts!

We will do the incorporation stuff that night, so it's really important that you come along if you are willing to serve as Director/Secretary of Cafe Project Ltd.
Why are we becoming a Company Limited By Guarantee?
The Cafe Project will be able to act as a separate legal entity. This limits our financial liability to £1 per member in the case of bankruptcy. At the moment, Emilia is solely responsible since she is leasing the space. Please note that this does not preclude all forms of personal liability, e.g. if a breach of health and safety can be traced back to a particular person. See also below regarding duties of Directors.
What are the disadvantages?
We will need to submit an annual return and abbreviated accounts with Company House once a year. Luckily, as a small company, the abbreviated account is relatively simple if we do proper accounting throughout the year; also, we are not required to be audited, so everything can be done without the help of a professional accountant.
What needs to be done?
We already have completed all necessary documents for incorporation (to be found under "Governing Structure" in the Internal Area). During the General Meeting, we need to collect witnessed signatures from initial Directors and the Secretary. We are also required to set up a Register of Members that must contain names/addresses, be kept up to date, and kept in the cafe.
What are Directors and what are their duties?
According to our Articles of Association, Directors do not have any extra power apart from the statutory ones - e.g. being able to perform financial transaction in the name of the Company. Directors. Directors have certain duties, most importantly filing the annual return/accounts and notifying Company House of any changes in the list of Directors. Shall I become a Director?
Yes, if you are willing to stay involved with the Cafe Project for at least one more year and you are willing to take on the responsibilities and risks involved, that would be great! Ideally, we will have a small number people willing to take on the role (around 5?).

This includes a lunchbreak from 12:15 to 1pm in which you're welcome to use the King's Cafeteria and eat in King's Great Hall. Here the time plan:

Now the cafe is running officially, EVERYONE who sells stuff / prepares cakes etc. has to be heath and safety trained. We are allowed to train volunteers ourselves (and are required to keep records of that), but at any time there should ideally always be at least one person in the café who has been officially trained. And that means everyone who wants to do something later should attend the training - please bear in mind, that we'll get loads of new volunteers, who will not be officially trained, and we don't know when the next chance for training would be to train them. - They'll need to work with someone who has been officially trained. People who bake cake for the cafe need to be health and safety trained, so that we can prove that all our cake comes from suppliers who make sure there is no risk from bad food hygiene. This usually costs 60pounds per person, but Ms Roberts from the University has agreed to train us for free!
The Grand Opening is coming up, and we still need to do a lot of planning work! Everyone interested in getting involved with Café Project planning should come. The more the merrier!
